THAWTE SSL CERTIFICATE DOCUMENTATION 1. Why do we need Supporting Documentation? Before Thawte can issue your Digital Certificate, we authenticate that your organization actually exists. We do this using appropriate government issued documentation. We need to do this to verify that :
2. Which documents are required? The precise documentation depends on your country and type of organization. It's most important that you get the documentation that proves your registration with national, provincial or state authorities before you make your request, because that is the documentation that will determine the precise organization name you ask for in the certificate. The links below take you to detailed descriptions of the documents we need. To ensure efficient processing of your request, make sure that you have the correct company name documentation. Your registered company name, locality (city/town), state/country where your company is registered, must match the documentation which you send us exactly. It is easier to get it right if you have the documentation in hand first! 1. Proof of Organisational Name (Your certificate request must contain a company name exactly as stated in your Government issued document.) 2. Proof of Right to Use Domain (The common name field in your certificate request must be for this domain owned by your organization and must be the domain you want to secure please read the requirements to see if you need to send this to us.) 3. Proof of Organisation Telephone Number You may need to send us a telephone bill/account that lists your Organization Name and telephone number. Note: If you believe that Thawte will be unable to obtain a telephone number for your organization through a trusted third party source, we encourage you to fax us one of the above documents before receiving notice from us to do so. This will help us to process your order faster. 3. Where do I fax the documentation to? Please fax your Documentation to the following number: +1 604-294-8341 4. When do I send the documentation? Fax the documentation right away 5. General Guidelines 5.1 Repeat Requests If you have had a previous certificate for the same organization within the last 90 days, you may not have to send ALL the documentation again. Ask your assigned representative if the documentation from the previous request will apply to the new one. The city, state, and business name must be exactly the same for the rule to apply. 5.2 Faxes and Originals You can usually fax your documentation to your chosen representative for faster processing. Please confirm with your representative whether they will accept a faxed copy of the documentation. Your representative will notify you if you must send the original documentation by mail. 5.3 Notarization and Translation Notarization of the documentation is not usually required. Occasionally a notarization of the telephone verification letter (where applicable) will be required. Your representative will inform you if this is necessary. If we do not have a representative who speaks your language, please make certified English translations of the documentation and send them to us along with copies of the originals. 6 Confirmation of Proof of Right (Proof of Organisational Name) 1.1 Providing us with Proof of Right Before Thawte can issue your Digital Certificate, we authenticate that your organization actually exists. We do this by checking approved online databases, or by checking your legal organizational documentation (also known as Proof of Right). 1.2 What happens if you cannot verify my Proof of Right online? If we are unable to confirm your company registration via an approved online database we will require that you fax us your Proof of Right documentation. Acceptable alternative Proof of Right documentation includes:
1.3 Are US Tax licenses accepted as valid Proof of Right? Thawte DOES NOT accept Federally issued tax licenses as valid Proof of Right. 1.4 When do we accept State issued tax licenses as valid? Thawte DOES accept State issued tax licenses as valid Proof of Right in the following circumstances:

Making sure to send us the correct documentation the first time around ensures that your request is verified and your certificate issued in a timely fashion. 1.6 What if I am Different? If you believe you have a right to use an organizational name but you do not fit into the categories described above, please contact your nearest Thawte representative to discuss your situation. http://www.thawte.com/contact.html 2.1 Providing us with Proof of Domain Registration To issue your Digital Certificate, your domain name registration must be verified against the organization name provided during enrolment. Thawte can only issue Certificates to organizations that have a legal right to use a domain name. 2.2 What if my organization is not the registered owner of the domain? If your organization is not the registered owner of the domain, please do ONE of the following: 1. Fax a completed Domain Authorization Letter to us. This letter must be printed on the DOMAIN REGISTRANT'S letterhead and signed by the registrant or an employee of the registrant. You will be able to generate a Domain Authorization Letter from your manager page. https://www.thawte.com/cgi/server/status.exe 2.Change the name of the domain registrant directly with your domain registration agency. E-mail representative indicated on your status page to inform us once this has been done (please state your order number in the subject line of the e-mail. 3.Fax us officially filed state/government documentation that shows a legal, "family" relationship between the domain registrant and your organization (e.g., affiliate, or subsidiary relationship). Please use your company letterhead to fax this information to us. You may also email your documentation to your (account manager) 4.Fax us officially filed state/government documentation that shows a legal change of name, from the name registered with your domain registration agency, to your existing business name. 2.3 What do I do if I have not yet registered my domain? We can register your domain for you. |
